At ISOACADEMIA, we respect the privacy of our users and website visitors. This Privacy Policy explains what data we collect, how we use it, and the rights of our users across both the ISOAcademia website and web app and the ISOACADEMIA Chrome Extension.

1. Scope

This policy covers both the ISOACADEMIA website and web application (app.isoacademia.com and related subdomains) and the ISOACADEMIA Chrome Extension, which operates only as a companion tool for capturing citation evidence from academic sources.
By using the website, web app, or extension, you agree to this Privacy Policy.

2. Data Collection

A. Information provided through the website

We collect only basic information voluntarily provided by users through forms, such as:

• Full name
• Email address
• Phone number (if provided through the “Contact Us” form)

The website may also use cookies and statistical tools (such as Google Analytics) to analyze traffic and improve user experience.

B. Information handled by the web app

For registered academic users, we may collect:

• Account information such as name, email, and institution (provided by the user or their university/college).
• Academic content such as citations, captured screenshots, and related notes that the user explicitly saves
• Technical data such as browser type, device, and IP address for security and performance monitoring

C. Chrome Extension data

The ISOACADEMIA Chrome Extension does not collect or store any personal data on its own.
It only runs when launched from within the ISOACADEMIA web app. When the user clicks “Capture,” the extension takes a user-selected screenshot of the page’s title and a small excerpt (one or a few short paragraphs) for academic citation verification.
This screenshot is then securely uploaded to the user’s academic workspace within ISOACADEMIA.

3. Use of Information

Collected information is used solely for:

• Responding to inquiries and providing user support.
• Enabling citation evidence capture and verification.
• Improving the platform’s features and academic functionality.
• Maintaining platform security and compliance with institutional requirements.

Information is never sold, shared, or used for advertising or marketing.

4. Cookies and Analytics

The ISOACADEMIA website uses a limited number of cookies and analytics tools to ensure proper functionality and understand how visitors use the site.

• Essential cookies are required for login sessions and security.
• Analytics cookies (e.g., Google Analytics) are used in aggregate form to improve performance. IP anonymization is enabled, and no analytics data is linked to individual users or academic content.
  Users can disable non-essential cookies through their browser settings.

5. Data Storage and Retention

All data is stored securely.

• Website inquiries are stored only as needed to respond to users.
• Academic content and captured screenshots are stored in ISOACADEMIA’s cloud infrastructure within the user’s academic workspace.
• Access is restricted to the user and authorized academic staff.
• Retention and deletion follow each participating institution’s policies.
• All user data can be permanently deleted upon account removal or institutional request.
  The Chrome Extension itself does not store any data locally.

6. Third-Party Services

ISOACADEMIA may use trusted technical service providers (such as hosting, email, and database infrastructure including Supabase and Google Cloud) to operate securely and efficiently.
These providers comply with industry-standard privacy and security requirements.
No data is shared with advertisers, marketing partners, or unrelated third parties.

7. Security

We use encryption, HTTPS secure transport, and strict access controls to protect all stored data.
Only authenticated users and authorized university/college staff can access academic materials.

8. User Rights

Every user has the right to request access to the information stored about them, as well as to request its update or deletion.
Users or institutions may also contact us to remove academic data or deactivate accounts.

9. Children’s Privacy

ISOACADEMIA is intended for higher-education use and is not directed toward children under 16. If we become aware of a child’s data being submitted, it will be deleted immediately.

10. Updates to this Policy

This Privacy Policy may be updated from time to time. The latest version is always available at https://app.isoacademia.com/privacy.
Significant updates will be communicated to our institutional partners.
